The workflow
Start to finish — from the first client to the post that publishes itself.
Add your first client
Clients → Add client creates the brand. Every client is self-contained: its own grid, calendar, asset library, approval queue, invoices and share-link portal — nothing bleeds between brands.
You'll land on the Clients list after logging in; it's the home base for every brand you manage. Add as many as your plan allows — each card shows the brand at a glance and opens its Overview.
Fill the brand kit
Open the client → Edit. Logo, colours, fonts, voice and the written brief all live here — and Studio's AI writes with every field you fill.
A thin brand kit means generic captions; a paragraph about the business, its audience and its no-go topics changes everything Studio produces. This is also where a Google Drive folder link goes — it appears as an Open Google Drive shortcut on the client's Overview.
Connect their socials
Client → Integrations. Instagram and Facebook connect in one step through Meta; TikTok connects through TikTok. Publishing needs a connection — planning, approvals and everything else works without one.
Connections are per client and use the client's own accounts, so approving the Meta prompt while logged into the right Facebook Business account matters. A disconnected platform never fails silently: posts to it show a plain-words reason on their tile.
Load the asset library
Client → Assets. Upload photos and video from the desktop, or open the QR code and send straight from a phone — files land in that client's library within seconds.
Video uploads go directly to storage, so size limits are generous. Clients can also send media from their portal — those uploads land here too and ring your notification bell. Everything in the library can be dragged onto the Grid.
Write the month in Studio
Studio drafts captions one at a time or a whole month in one batch — plus reel scripts, carousel outlines, hooks, story sequences and reply packs.
Everything is written with the brand kit, in the brand's voice. When real AI isn't available Studio falls back to built-in templates and says so — duller copy is never silently passed off as AI. Drafts flow straight onto the Grid and calendar.
Shape the feed on the Grid
The Grid is the client's feed before it exists. Drag assets onto tiles, reorder by dragging, open a tile to build a carousel — up to 10 slides, slide 1 is the cover.
Each platform has its own tab. TikTok shows a 9:16 shelf and takes clips OR photo posts — up to 10 JPG/WebP images publish as a swipeable carousel. The harmony score reads your live Instagram feed, so the plan matches what's already posted.
Send it for approval
Queue posts for approval, then share the client's portal link. They approve or request changes from their phone — no account, no login, no app.
Every decision comes back to you instantly: approvals and change requests ring the notification bell, and their notes attach to the post. The portal also has a comment thread — anything they write lands in Client notes on your Grid.
Put it on the calendar
Approved posts get a date and time on the Calendar — month view for the shape of things, spreadsheet view for bulk edits.
Subscribe your own Google, Apple or Outlook calendar from 'Add to my calendar' and every scheduled post follows you around. Dates can also be set from the Grid without leaving it.
Let it publish itself
A scheduler runs every 15 minutes and sends anything due. You don't press anything at 7pm.
Four things must be true for a post to go out: the platform is connected, media is attached, the status is Scheduled, and its time has passed. Drafts and approval-queue posts never publish on their own. When a post can't go out, the reason appears on its tile in plain words with a retry button.
Close the month
Reports pulls live Instagram reach and engagement for any date range you pick, compares it to the period before, and exports to PDF. Invoices go out from the same place the work happened.
On the 1st of each month ReplyOra also emails you a summary of last month across every client. The report's 'What changed this month' paragraph is auto-written from the data and editable before you send it.

What must be true before a post auto-publishes
Four things: the platform is connected for that client · the post has media attached · its status is Scheduled · its time has passed. Drafts and approval-queue posts never publish on their own, even with a date.
What TikTok can and can't take
Clips publish as Reels; photos publish as photo posts, and 2–10 images become a swipeable carousel. Photos must be JPG or WebP — TikTok refuses PNG/HEIC, and we tell you before it goes out. Stories don't exist in TikTok's API, and no platform lets an app attach music — use the Sound note on the post so whoever posts natively adds the right one.
Carousel rules
Open a tile to add slides — up to 10, reorderable, slide 1 is what shows on the grid and in the client's portal. Instagram won't publish a carousel that mixes photos and video, so the editor refuses the mix while you're building rather than at 7pm.
Content type follows the media
Two or more slides IS a carousel; a lone video IS a reel. The buttons lock to match what's attached, so the calendar never claims a post is something it can't publish as.
AI or templates — you're always told which
Studio writes with real AI when it's available and falls back to built-in templates when it isn't. Whenever templates wrote it, a notice says so — duller copy is never silently passed off as AI.
Assets and the phone
Upload photos and video from the desktop, or open the QR from any Grid or Assets page and send straight from a phone — files land in that client's library within seconds. Video uploads go directly to storage, so size limits are generous.
The client portal
A share link, not a login. It shows only that client's content for review — approve / request changes — and can't reach any other part of your workspace. Links can be revoked by generating a new one.
Notifications — updates from the other side
The bell in the top bar collects everything clients do in their portals: approvals, change requests, comments and phone uploads — plus new chatbox leads. Opening the panel marks it read, so the badge always means “since you last looked”.
The website chatbox
Each client can have an AI assistant on their own website — trained under Chatbox → Train, tested live under Try it, installed with one script line. It answers visitors 24/7, remembers the conversation, and rings your bell the moment someone leaves their email.
Google Drive & Google Calendar
Each client can carry one Drive folder link (set it in the brand kit; an Open Google Drive shortcut appears on their Overview). Your calendar app can subscribe to every scheduled post and open task via the Calendar page.
The beta window
Beta accounts get the whole product free for 30 days — a banner counts down, and at the end the account pauses until a card is added. Nothing is deleted at the end of a beta.
